Position-Only Budgets

A position-only budget enables you to budget expenses, hours and the value of those hours in a project, and associate these with positions (but not activities).

To set up a position-only budget, carry out the following steps:

  1. Open the relevant project.
  2. Ensure that the Budget Type is set to Positions Only in the Project Details tab.
  3. Choose a Time by Hours or Value option.
  4. Open the Budget tab.
  5. Click ADD.
  6. The budget screen lists all positions. Each position has a line for total budgeted time for that position, and another for total budgeted expenses for that position.
  7. Select the Active checkbox of each line you intend to use.
  8. For each budget entry you require, enter the hourly rate for time, and the number of hours (if you selected Hours above), or the expense amount.

    You can specify an override charge-out rate in the Rate column. If one is specified, it will be applied to time entries in the project instead of the default rate for each employee with the relevant position. Leave the value in the Rate column at 0.00 if you don't want to override the employee rate.

    If the project uses phases, you can select each phase in turn at the bottom of the screen, specifying a different set of budgeted amounts of time and expenses for each.

  9. Click Submit.

You have set up a position-only budget for the project.

Building the Budget by Value Only

The budget can be set up by value only, with no reference to the number of hours.

To do this, change the budget from Hours to Value by carrying out the following steps:

  1. Open the Project Details tab.
  2. In the Budgets section click EDIT.
  3. Select the Value radio button.
  4. Click Submit.

Now you can return to the Budget tab and build the budget by value only. The Hours fields are no longer editable.
